TO CHECK THE IP ADDRESS:
1. On the copier, select the “User Functions” button
a. On the panel, select the “Admin” tab at the bottom
b. Touch the “Password” button
c. Enter the machine credentials (password = 123456, select “Ok”)

2. On the upper left corner of the panel, select “Network”

3. On the upper left corner of the panel, select “IPv4”
Note the IP address of your machine (1st set of numbers… ###.###.###.###)

4. Select “Ok” & then “Close” until you’re back to the main copy screen

To reset the IP address (AS DIRECTED BY YOUR IT ADMINISTRATOR OR DOCEO TECHINCIAN):
1. Follow the instructions above (Steps 1-3)

2. Select the “IP Address” button
a. Enter the desired IP address (as provided by your IT administrator) – use the arrows to move between the 4 sets of numbers

3. Select “Ok” to return to the screen showing the “IPv4” button
a. Select “Apply Now” at the bottom of the screen

4. Select the “Close” button

5. You will notice a message at the bottom left of the screen “Network Initializing”
a. When “Thank you for trusting DOCEO” reappears, your settings have been changes

1. Open internet explorer window

2. Type your i.p. address into the search window

3. On the Top Access site, click the “Logs” tab

4. Now click on the “Print” tab
You will see a list of dates and users

1. Toshiba print drivers are available online here – you have 2 options for downloading them:
a. You can do a web search for the Toshiba e-studio model driver. If you are presented with options, choose to download the PCL version that matches your Windows computer operating system (32 bit or 64 bit).
b. You can download the appropriate Toshiba e-studio model driver from our DropBox cloud file storage by clicking here.

2. Select & download the appropriate print driver
When downloading the print driver, save it to your computer in a location that you will remember & will be accessible for the computers that need to have it installed.

3. Once you have downloaded the print driver, you can begin installing on each Windows computer.

Note: You will need to know the IP address of your copier before you proceed. Read our other FAQ’s about how to verify or rest the IP address.

1. Open the “Devices & Printers” setting from the “Control Panel” of your computer. Your version of Windows will determine where & how that setting is accessed.

2. Choose “Add Printer” at the top of the window

3. Then choose “Add a local printer”

4. Select the check box for “Create a new port”
a. Choose “Standard TCP/IP Port” from drop down list
b. Choose “Next”

5. Enter the IP address of your Toshiba copier in the “Hostname or IP Address” field (the format of the number will be: ###.###.###.###)
a. The “Port Name” field will automatically populate
b. Uncheck “Query the printer & automatically select the driver to use”
c. Choose “Next”

6. Choose “Have Disk” near the bottom of the next window
a. A new window will open
b. Choose “Browse” – another window will open
c. Navigate to the location of the print driver you saved
d. Open the appropriate subfolder – 32bit or 64bit (which matched your Windows operating system)
e. When a file populates the “File name” box, choose “Open”
f. Choose “OK” at the window with the folder path appears
g. The name of the print driver will appear in the window
h. Choose “Next”

7. You may be prompted in another window to choose between “use the currently installed driver” or “replace the current driver” – Choose to “use currently installed” and then “Next”

8. A “Printer Name” will appear, based on the name of the print driver
You can choose to leave the default or change the name to anything you’d like

9. The copier/printer can be shared so others on your network can see it
a. If you choose “Do not share this printer”, you can move on to the next step
b. If you choose to “Share this printer…”, the Share name will automatically be populated with the Printer name from step 8 – you can change the name if you’d like. Choose “Next”

10. The print driver will be installed with the chosen settings – you may see a progress bar

11. A confirmation “You have successfully added ‘your printer name’” will appear
a. If you want this to be the default printer, check the “set as default printer” box
b. Choose “Print a test page” to confirm that the printer is working properly
c. Choose “Finish”

12. The copier/printer will now appear in your list of printers

Set Features and defaults:

1. Right-click on the printer you just added
a. Choose “printer properties” (in the middle of the resulting menu items)

2. Select the tab at the top, far right “Device Settings”
a. A box will pop up “Device Settings Retrieval” (forcing communication between your computer & the copier/printer
b. Confirm that the correct Toshiba model & options are populated on that page

3. Select the “Advanced” tab
a. Choose “Printing Defaults” at the bottom
b. Use the tabs across that window to set your desired machine defaults
c. Choose “Ok” at all windows

1. Toshiba print drivers are available online here
a. Select Drivers
b. Type in the model number of your copier (i.e. 3540c)
c. Then click on “Search”
d. Select Mac OSX 10.6 and later
If you are presented with options, Between Duplex or Single side this will only default your driver to print out a 2 sided or 1 sided pages. You can change your preference later.

2. When downloading the print driver, save it to your computer in a location that you will remember & will be accessible for the computer(s) that need to have it installed.

3. Once you have downloaded the print driver, you can begin to install the driver on your Mac.
a. Double-click on the downloaded (.gz) file to extract the installer
b. Double-click on the .dmg installer file
c. Run the installer -–select “Continue: & “Install”
d. Agree & enter password if prompted
e. Select “Install software”
f. Select “Close” after successful installation

Note: You will need to know the IP address of your copier before you proceed. Read our other FAQ’s about how to verify or rest the IP address.

1. Open “System Preferences”

2. Select “Print & Fax” under the “Hardware” section

3. Select “+” to add a printer

4. Click on the IP tab

5. Enter the IP Address information of the printer you want to install and leave “Queue” blank

6. Type a descriptive name for your copier (i.e. BRK 1st floor color)

7. Under Print select the correct print driver (as installed in previous steps) from the list

8. Select the features you have installed on your copier/printer

If you’re not sure of your finishing options, you can leave the finisher blank if you like. You will still be able print a document – you may not be able to use all of the features physically installed with your copier.

There are a couple of options for meter reports, depending on the desired end result:

1. If you just want to print out a total count, you can do that directly from the copier.
a. There’s a “counter” button, which then gives you the option to “print out total counter”. That is the same data (and in the same format) as we receive to calculate your billing.

2. From Top Access, you’ll login as administrator and have more options
a. username = admin, password = 123456
b. Choose the “Counter” tab
c. “Total” shows you the basic total counts (the same as from the copier itself) and “Department” shows you the same numbers, broken down by codes

3. You can print the web page or take a screen shot of the data here

OR

1. Choose “User Management” tab

2. Choose “Export/Import”

3. Scroll to the bottom and choose “Department Information (all counters)”. Then “Create New File”. Select the resulting “csv” file to open or save.

1. Windows Start Menu – Control Panel – Hardware & Sound – Devices & Printers

2. Select the Toshiba printer (named Toshiba Universal 2 or Toshiba 3540c)
a. Right-click on printer
b. Choose “Printer Properties”

3. A new window will open
a. Choose the “Advanced” tab at the top
b. Choose “Printing Defaults”

4. Choose the “Finishing” tab at the top
a. The second set of options “2-Sided Printing” is where you will make your change
b. Choose the first picture on the left for single-sided printing

5. Choose “Apply” 

6. Choose “Ok” to close the window

7. Choose “Ok” to close the next window

8. Close your “Devices & Printers” window

1. Press the “User Function” button

2. Select “User” on the display screen
For e3511’s, choose “General

3. Choose “Drawer”

4. Highlight the drawer that you wish to set or change

5. Choose paper size from the selection on the right of the display
Be sure that the settings match the physical position of the paper in the drawer
– Letter: portrait = LT (8 ½ x 11)
– Letter: landscape = LTR (11 x  8 ½)
– Legal = LG (8 ½ X14)
– Ledger = LD (11X17)

*When changing paper position in the drawer you will need to unlock the paper guide. Remember to re-lock the paper guide after making any changes.

1. Select “Job Status” button

2. Log tab on display

3. Select send or receive

4. View log

5. To print – Touch Journal

1. Standing in front of the copier, select the ‘User Functions’ button

2. On the control panel, select the ‘admin’ tab at the bottom of the screen

a. Select the ‘password’ button and ‘123456’, select ‘Ok’

3. Choose the ‘List/Report’ box

4. Choose the ‘Report Setting’ box

5. Choose the ‘Comm Report’ box
a. Under the ‘Memory TX’ setting change ‘on error’ to ‘ALWAYS’
b. If you would like to see the 1st page of what you have faxed, choose ‘yes’ when prompted; otherwise choose ‘no’
c. Under the ‘Multi TX’ setting change ‘on error’ to ‘ALWAYS’
d. If you would like to see the 1st page of what you have faxed, choose ‘yes’ when prompted; otherwise choose ‘no’

6. Select ‘Ok”

7. Press the FC/Function Clear button twice to be returned to the main screen

At the Machine:
1. Select the “user Function” button

2. Select the “Address” tab on the display screen

3. Select “Address Book”

4. Scroll down using the “Next” tab in the lower right until you reach the next available blank space

5, Touch that blank line to highlight

6. Select “Entry” and type in desired name/info

7. Select “Enter” and then “Function Clear” to go back to the main menu screen

From your computer through Top Access:
1. Using your IP address, go to the Top Access website

2. Choose the “Reg. Tab”

3. Choose “Address Book” in the blue bar

4. Select “Add” and add type in desired name/info

5. Select “Save”

If you know the IP Address of your copier, skip to Instruction B.

Instruction A:
1. On the copier, select the “User Functions” button
a. On the panel, select the “Admin” tab at the bottom
b. Touch the “Password” button
c. Enter the machine credentials (password = 123456, select “Ok”)

2. On the upper left corner of the panel, select “Network”

3. On the upper left corner of the panel, select “IPv4”
Note the IP address of your machine (1st set of numbers… ###.###.###.###)

4. Select “Ok” & then “Close” until you’re back to the main copy screen

Instruction B:
1. Open a web browser 

2. Enter the IP Address of your machine in the address bar
a. The Toshiba TopAccess administration page will open

3. Select “Login” in upper right corner of page
a. Enter the machine credentials (User = admin, Password = 123456)

4. Select the “Administration” tab
a. You will be in the “Setup” area, “General” section
b. Scroll down until you see the blue line “Date & Time” section and make you date & time adjustments as necessary
c. Select “Save”
d. You will be prompted “Are you sure?” – select “Ok”
e. If you are prompted to “Reboot machine?” – select “Ok”

1. Shut down the machine using the switch

2 Turn the machine on while pressing the “0” and “8” keys. Continue holding the “0” and “8” keys until the machine beeps. The machine is now in test mode.

3. Key in “692” on the number pad

4. Seclect “Start”, a crosshair (circle with a cross in the center) will appear in the upper left corner of the display screen. Touch the center of the crosshair/target. The crosshair will now appear in the lower right hand corner of the display screen. Touch the crosshair and then select “Enter”.

5. Turn the machine off using the switch and then turn the machine back on.

1. Select “User Function” button

2. Select “User” on the display pad

3. Select “General”

4. Select “Replace Toner Cartridge”

5.Select the color(s) that have been replaced

1. Select “User Function”

2. Select “Department Management” on the display screen
On newer machines,Select “Counter Department Management”

3.Select “Password”

4. Key in “123456” on the number pad located to the right of the display screen

5.Select “Department Management” and choose enable or disable

6. Press the “Function Clear” button until you are back to the main screen/menu

If the above instructions do not work, Please try the steps below for some of the newer models:
1. Press the small counter button first

2. Select “Department Management” on the display screen

3. Select “Password”

4. Key in “123456” and select “Ok or Enter”
Department management, enable and function clear twice

1. Shut machine down using the switch

2. Hold down the “0 and 8” keys on the number pad while turning on the machine

3. Machine is now in test mode

4. Key in “4546” and push the “Start” button

5. Press the “0” key and push “Enter on the display screen

6. Key in “556” and push the “Start” button

7. Press the “0” key and touch “Enter” on the display screen

8.Key in “557” and push the “Start” button

9.Press the “0” key and touch “Enter” on the display screen

10. Hold down the “Energy Save” button
You will hear a series of beeps and the machine will shut off

11. Turn the machine on
